This role is a member of the Global Partnerships and Philanthropic Services (GPPS) Unit, consisting of functional specialists across a variety of high-value fundraising functions providing all elements of cultivation, support and stewardship to high value donors, partners, and supporters.
Job Overview:
Reporting to the Director, Program Impact, the Associate Director, Program Visits will be responsible for developing and running a robust portfolio of in-person and virtual program visits for IRC’s board and advisors as well as major corporate, foundation and individual donors. Leading a team of three, the Associate Director of Program Visits will work in partnership with stakeholders in development and IRC’s international and domestic program teams to develop engagement opportunities that connect donors with IRC’s inspiring global programs that help demonstrate the impact of their support.
Major Responsibilities:
Program Visit planning & execution (50%):
• In collaboration with key collaborators, develop and implement a portfolio of in-person and virtual board/donor trips to IRC international and domestic program sites, ensuring relevance and feasibility according to organizational needs and available resources;
• Develop and implement custom trips for Principal Donors ($1 million +) and prospects, grant compliance visits, and high-level corporate employee engagement activities as required;
• Work closely with IRC country teams to plan and coordinate the visit, including travel arrangement and information content.
• Prepare post-trip reports and after-action reviews;
• Develop program visit element of workshops and conferences as required.
Team Leadership and Management (25%):
• Supervise and mentor a team of three managers and officers, and support them in their program visit portfolio development and management;
• Liaise with President’s Office, Programs, and other internal collaborators across the organization in support of program visits, including identifying safe, interesting destinations and developing itineraries;
• Work with Finance to monitor and plan annual Program Visits budget, ensuring responsible spending with limited resources;
• Represent Program Visits team in wider organizational planning processes and working groups.
Process Improvement and Quality Control (25%):
• Lead the team in developing and implementing new and improved processes and systems for high quality management, implementation, and impact monitoring of program visits, including incorporating learning from past visits;
• Support the Director, Program Impact, and other collaborators in ensuring organizational processes and systems are responsive to the needs of High Value private funding;
• Maintain and improve protocols trip, including standards for engaging with IRC clients and that safeguarding policies are in place.
Essential Qualifications:
• 8+ years’ conference and meetings planning experience or related field;
• Deep experience managing high-level delegations;
• Knowledge of the drivers and motivators for support from corporations, foundation, high net worth individuals; experience working directly and supporting private sector fundraisers;
• Excellent interpersonal skills: the ability to communicate and liaise effectively and diplomatically with colleagues, vendors, and consultants;
• Ability to lead and coordinate with geographically dispersed teams;
• Ability to analyze and synthesize information and strong attention to detail;
• Willingness and ability to regularly travel, sometimes on short notice and to volatile areas;
• Outstanding cross-cultural communication skills.
Desirable Skills & Experience:
• Frontline fundraising experience and direct donor engagement, in particular with private sector donors.
• Experience of working in a fast-paced environment, successfully balancing diverse and changing stakeholder needs;
• Knowledge of event and customer relationship management software. Experience with Salesforce is a plus;
• Experience living or working in multi-cultural environments and/or working in a program delivery organization;
• Experience in planning and organizing travel, potentially to remote locations with basic facilities;
• Proficiency in multiple languages (particularly Arabic, French, and/or Spanish).
